Connect Microsoft 365

Give Lobby read-only access to your Microsoft 365 room calendars, and optionally let it list your rooms for you.

Narrated walkthrough with captions. The steps below cover the same ground with screenshots.

Before you start

  • You're a Lobby Admin signed in with your Microsoft 365 work account.
  • Your organisation hasn't connected Google Workspace. Each organisation uses one calendar provider.
  1. 1

    Sign in with Microsoft 365

Click Sign in with Microsoft 365. With Microsoft, signing in and connecting the calendar happen in one step. If Lobby later shows Connect your Microsoft 365 calendar, click Connect Microsoft 365 calendar, or go to Settings, find the Microsoft 365 card and click Connect Microsoft 365.

  2. 2

    Click Accept on Microsoft's screen

Microsoft asks you to let Lobby read your room calendars. Access is read-only: Lobby can't create, edit or delete events, and it doesn't touch mail or files.

  3. 3

    Let your rooms start syncing

That's all sync needs. An ordinary user can give this permission, so you don't need a Microsoft 365 admin for this step. The Microsoft 365 card in Settings now lists your account under Calendar accounts.

  4. 4

Optional: turn on automatic room discovery

To have Lobby list your meeting rooms for you, a Lobby Admin clicks Enable room discovery on the 'Turn on automatic room discovery' banner, or Enable on the setup checklist. On Microsoft's screen, sign in as a Microsoft 365 admin and click Accept. This approval is needed only once. Until then, you can add rooms manually.

What happens next

Add your rooms. Lobby reads each room's calendar as the account you connected, so that account must be allowed to open the room's calendar.

Tips

  • Room discovery is optional. Nothing else changes when you turn it on, and you can always add a room by its address instead.
  • Connect a second admin account under Calendar accounts so rooms keep syncing if one person leaves.

If something goes wrong

Microsoft shows 'Approval required'.

Your company only allows apps a Microsoft 365 admin has approved. Ask your Microsoft 365 admin to approve Lobby, then try again.

Lobby shows 'That's a different account'.

Microsoft returned a different account from the one you signed in with. Choose which account you want to continue with.

A room is added but shows a sync error.

The connected account can't open that room's calendar. See the article on giving Lobby access to a room calendar.
