Give Lobby access to a Microsoft 365 room calendar

Fix the most common Microsoft 365 sync problem by letting the connected account read the room's calendar.

Plan: All plansWho can do it: Admins, with help from a Microsoft 365 admin5 steps

Before you start

  • Microsoft 365 is connected in Lobby.
  • You know which account is connected. It's listed under Settings, Microsoft 365, Calendar accounts.
  1. 1

    Recognise the problem

The calendar check says 'The address is right, Lobby just isn't allowed in', or the room shows a sync error saying Lobby can't read this room's calendar. The room mailbox exists, but the connected account isn't allowed to open its calendar.

A red result explains the problem and how to fix it.
  2. 2

    Ask for Reviewer access

Ask a Microsoft 365 admin to give the connected account Reviewer access (or delegate access) to the room's calendar.

  3. 3

Or run one line of Exchange PowerShell

Your Microsoft 365 admin can run: Add-MailboxFolderPermission -Identity room@yourcompany.com:\Calendar -User connected-account@yourcompany.com -AccessRights Reviewer. Replace both addresses with your own.

  4. 4

Or use an account that already has access

If another admin can already see the room, click Connect another account under Calendar accounts and sign in as them. Lobby tries each connected account for each room and keeps the one that works.

Your Microsoft 365 connection and its calendar accounts, in Settings.
  5. 5

    Check again

If the check panel is still open, click Check again. Permission changes take effect straight away. Otherwise, wait for the next sync (within 5 minutes) or click Sync now on one of the room's screens, then look at the room's Overview tab.

A red result explains the problem and how to fix it.

What happens next

Once the check shows 'Everything checks out', attached screens pick up the room's meetings on the next sync, within 5 minutes.

Tips

  • If the check says 'We couldn't open that room's calendar', Microsoft answered 'not found'. Either the address has a typo, or the connected account can't see the room at all. Check the address first, then the permissions.
