Rooms help

Find and check a room's calendar address

Look up a room's calendar address, then understand the check Lobby runs before saving it and what each result means.

Plan: All plansWho can do it: Admins5 steps

Before you start

  • To look up an address you need access to Google Admin or the Exchange admin center, or a colleague in IT who has it.
  1. 1

Find the address on Google Workspace

In Google Admin, open Calendar Resources (admin.google.com/ac/calendarresources/resources). Click the room and copy its Resource email. It ends in @resource.calendar.google.com.

  2. 2

Find the address on Microsoft 365

In the Exchange admin center, open Resources, then Rooms & equipment (admin.exchange.microsoft.com/#/resources). Click the room and copy its primary email address, for example boardroom@yourcompany.com.

  3. 3

    Let the check run

The check runs when you create a room manually, and when you change a room's address on its Settings tab. It takes about five seconds: Lobby checks the address format, connects to your calendar provider, looks up the room and reads this week's bookings.

A green check means any screen you attach will show this room's bookings.
  4. 4

    Read the result

'Everything checks out' means any screen you attach will show the room's bookings. A red result names the problem in one sentence and lists the steps to fix it.

A red result explains the problem and how to fix it.
  5. 5

    Fix it, or save anyway

Click Edit the address to correct a typo, or Check again after fixing permissions. If you'll sort it out later, you can save anyway: Lobby keeps retrying every 5 minutes.

A red result explains the problem and how to fix it.

Tips

  • No admin access? Ask your IT team for the room's calendar email. That's all Lobby needs. The room's name on its own won't work, and neither will a calendar sharing link.
  • The manual form in Add a room shows these steps in the app too, and so does Where do I find this address? on a room's Settings tab.
  • Click Technical details to see the exact message from Google or Microsoft, which helps your IT team.
  • Two results can't be saved: a room that already exists, and a pasted calendar link. Both offer a one-click way forward instead.

If something goes wrong

That doesn't look like a calendar address

Enter the room's email address, not its name.

That's your own email address

Using your own mailbox would put your own meetings on the screen. Enter the room's address instead.

That's the example address

Replace the placeholder with your room's real address.

We couldn't find a calendar at that address

Check for a typo. On Google, also make sure the room's calendar is shared with the connected account with 'See all event details'.

The address is right, Lobby just isn't allowed in

On Microsoft 365, give the connected account Reviewer access to the room's calendar. On Google, open the calendar's settings in Google Calendar and share it with the connected account using 'See all event details'.

We couldn't open that room's calendar

Microsoft 365 answered 'not found'. Either the address has a typo, or the connected account isn't allowed to see the room at all.

Lobby needs to reconnect

The calendar connection has expired or been withdrawn. An admin should reconnect it in Settings.

We couldn't finish the check

Something unexpected happened. The room can still be saved and Lobby retries every 5 minutes. If it keeps failing, email support@usethelobby.com.
