Get started with Lobby Rooms
Go from sign-in to a live meeting room screen: connect your calendar, add a room and attach a screen.
Narrated walkthrough with captions. The steps below cover the same ground with screenshots.
Before you start
- A work account on your company's own domain, in Google Workspace or Microsoft 365. Personal accounts such as @gmail.com can't create an organisation.
- The calendar address of at least one meeting room, or a calendar account that can already see your rooms.
- Something to show the room on: a TRMNL e-ink display, a tablet, a TV or any device with a modern browser.
- 1
Sign in with your work account
Go to app.usethelobby.com and click Sign in with Google or Sign in with Microsoft 365. The first person to sign in for your company's domain becomes its Admin, and Lobby creates your organisation for that domain.

Connect your calendar
With Microsoft 365, accepting Microsoft's permission screen when you sign in connects the calendar in the same step. With Google, Lobby then asks you to Connect Google Calendar before you can use the dashboard. Access is read-only: Lobby can never create, edit or delete events. Your connection then shows in Settings.

Add your first room
Open Rooms in the sidebar and click Add a room (a card after your rooms, or a button if you have none yet). Tick the rooms Lobby finds for you, or choose Other (enter manually) and paste the room's calendar address. Lobby checks the address before it saves the room.

Attach a screen
Lobby opens the room's Screens tab. Click Add a screen and pick TRMNL display for an e-ink panel or Virtual screen for a tablet or TV.
Choose a TRMNL display or a virtual screen for the room. - 5
Check the result
Within a few minutes the screen shows the room's name, whether it's free or in use, and today's meetings. Open Overview in the sidebar to see all your rooms and screens at a glance.
The Overview page shows every room and screen at a glance.
What happens next
Calendars sync every 5 minutes, so new bookings appear on the screen automatically. From here you can add more rooms, build a board for reception or invite colleagues.
Tips
- While you set up, the Overview page shows a Finish setting up Lobby checklist with the steps that are left.
- If Lobby asks you to pick a timezone after signing in, choose your office's timezone and click Save timezone. Every screen shows times in this timezone. You can change it later in Settings, under Timezone.
- The Free plan includes 3 active screens. Rooms and boards aren't capped.
If something goes wrong
I see 'Workspace account required'.
You signed in with a personal account. Click Sign out and try again and use your work account.
I see 'Access requested' or 'Access not set up'.
Someone at your company has already set up Lobby. If the page says 'Access requested', its admins have been told and can approve you on the Team page. Otherwise, ask an admin to invite you.
