Book a room from the screen's QR code
Scan the QR code on a room's screen to start a booking in your own calendar, and choose what the QR does.
- 1
Scan the QR code
On any room screen, point your phone's camera at the QR code next to 'BOOK ON:'. Your own Google Calendar or Outlook opens a new event with the room already added.
- 2
Save the event
Set the time if you need to and save the event as you normally would. You don't need a Lobby account.
- 3
Watch the screen update
The screen shows the new booking after its next sync and refresh.

Admins: choose what the QR does
Open Rooms, click the room, open the Settings tab and find Booking & QR. Choose whether the room is added as an attendee, as the event location, or both, then click Save changes.

Microsoft 365: Outlook or Teams
On Microsoft 365, under When the QR is scanned, open, choose Outlook calendar for a new Outlook event or Microsoft Teams to start a new Teams meeting with the room invited.

What happens next
Changes to these settings reach the room's screens within 5 minutes.
Tips
- Lobby never creates the event itself. The booking is made in the person's own calendar, so normal calendar rules apply: if you can't book the room in your calendar, the QR code won't change that.
- Printing your own signage? Untick Show the booking QR code on screens to remove it.
- Keep Add the room as an attendee on for the broadest compatibility. At least one of the two options always stays on.
- On Pro, Custom booking link sends the QR code to your own booking or payment page instead. The link must start with https://.
