Meeting Room Layouts: 8 Setups, When Each Works, and How Many People Fit
Boardroom, U-shape, hollow square, theatre, classroom, rounds, chevron and the huddle circle. What each one costs you in floor area, what it does to sightlines, and why most small offices only ever need two of them.
Search for "how to set up a meeting room" and the top results are university event services pages with line drawings of tables. That is the correct answer to the question, and it is worth saying plainly, because half the people asking are looking for something else entirely (setting up a room resource in Outlook, which is a different problem with identical words). This post is the furniture answer.
Eight named layouts, what each one is good and bad at, how much floor area it actually needs, and where the screen has to go for the people at the far end to read it. At the end there is a comparison summary, an honest note that most offices with 20 to 100 people only ever need two of these, and a short bridge to the other question hiding inside the same search string.
The numbers underneath all of this
Before the layouts, two sets of figures. They are not the same thing and confusing them is how rooms end up uncomfortable but technically legal.
Code minimums. The International Building Code sets occupant load factors in Table 1004.5. For assembly without fixed seats, the factors are 15 square feet net per occupant for unconcentrated seating (tables and chairs), 7 square feet net for concentrated seating (chairs only, not fixed), and 5 square feet net for standing space. General business areas are 150 square feet gross per occupant. The code also caps any increased occupant load at one occupant per 7 square feet.
Those are egress numbers. They tell you how many people the exits can handle, not how many people can sit down and work. Nobody has ever enjoyed a meeting at 15 square feet per person.
Planning figures. What you actually design to is 1.5 to 3 times the code factor, depending on layout, because you have to add table depth, chair pull-back, and a route around the back. For the circulation route, 36 inches (915 mm) of clear width is the ADA minimum for an accessible route, which is a reasonable floor for the gap behind a row of chairs that people need to walk along.
Everything below is a planning figure including circulation, not a code minimum.
The eight layouts
1. Boardroom (conference style)
One table, chairs on both long sides and usually one or two at the heads. Tables arranged together to form a single large table.
Plan for 2.3 to 2.8 m² (25 to 30 sq ft) per seat. Allow 600 to 750 mm (24 to 30 in) of table edge per person, and at least 900 mm (36 in) behind each chair to push back, 1200 mm (48 in) if anyone needs to walk behind seated people.
Sightlines: good for the people opposite the screen, poor for the two seats closest to it, who have to turn 90 degrees or more. Mount the display on the short wall at the far end from the door, not on a long wall.
Best for: decision-making with 6 to 14 people who all need to see each other. Worst for: anything presentation-heavy above about 10 people, because the head-of-table seats stop being able to read the screen.
2. U-shape
Tables in a horseshoe, chairs on the outside only, open end facing the presenter or screen.
Plan for 3.0 to 3.7 m² (32 to 40 sq ft) per seat. This is the most space-hungry layout per person, and people consistently underestimate it because the middle looks empty.
Sightlines: the best of any table-based layout. Everyone faces roughly forward and nobody has their back to the front. That empty middle is what buys you the sightlines.
Best for: training, workshops, and sessions where a facilitator needs to walk into the middle. Worst for: small rooms, and any group above about 22 people, at which point the arms of the U get so long the far seats cannot hear each other.
3. Hollow square
Tables in a closed square or rectangle, chairs on the outside, empty centre. Everyone faces inward.
Plan for 3.0 to 3.7 m² (32 to 40 sq ft) per seat, same as U-shape.
Sightlines: deliberately equal and deliberately bad for a screen. A quarter of the room has its back to any front-of-room display. This layout is a statement that the screen is not the point.
Best for: negotiations, board meetings, and any session where nobody should be at the head of the table. Worst for: hybrid meetings. A camera at the front of a hollow square sees the backs of several heads.
4. Theatre (auditorium)
Rows of chairs facing front. No tables.
Plan for 0.9 to 1.2 m² (10 to 13 sq ft) per seat including aisles. This is roughly the code's 7 square feet concentrated factor plus circulation.
Sightlines: best in class for the front two thirds, and then geometry takes over. Without raked seating, the person in row 6 sees the back of the head in row 5. Use AVIXA's DISCAS method to size the display against the farthest viewer distance rather than guessing.
Best for: all-hands, product announcements, lectures where nobody writes anything. Worst for: anything requiring a laptop or note taking, and anything where people are expected to talk to each other.
5. Classroom
Rows of tables with 2 or 3 chairs each, all facing front.
Plan for 1.8 to 2.3 m² (20 to 25 sq ft) per seat. Roughly double theatre style, which is the cost of giving everyone a writing surface and a power socket.
Sightlines: good forward, poor sideways. Attendees can see the presenter and not each other.
Best for: training with handouts, laptops, or tools. Long sessions where people need somewhere to put a coffee. Worst for: discussion. The layout tells everyone that talking is the presenter's job.
6. Cabaret and rounds
Round tables spread through the room. Full rounds seat people around the entire perimeter. Crescent rounds (also called half rounds) seat only around the half facing the front, so nobody has their back to the presenter.
Plan for 1.2 to 1.5 m² (13 to 16 sq ft) per seat for full rounds, and 1.7 to 2.0 m² (18 to 22 sq ft) for crescents, because you are paying for a whole table and only using half of it.
Sightlines: full rounds are bad (a third of each table faces backwards). Crescents are good, which is exactly what you are paying the extra square metres for.
Best for: sessions that mix presentation with small group work, and anything involving food in the same room. Worst for: rooms narrower than about 7 m, where round tables waste corners.
7. Herringbone (chevron)
Rows of tables angled into a V, separated by a centre aisle.
Plan for 1.6 to 2.1 m² (17 to 22 sq ft) per seat. Slightly tighter than classroom because the angle uses corners better.
Sightlines: better than classroom for the same footprint, because the angle turns every seat partly toward the front and partly toward the other side of the room.
Best for: training rooms for 20 to 60 people where you want some peer visibility without giving up the writing surface. Worst for: rooms with a column in the middle, and rooms where the furniture has to be reset by one person in ten minutes.
8. The huddle circle
Four to six chairs, one small table or none at all, a screen on the wall. No head of table because there is barely a table.
Plan for 2.0 to 2.5 m² (22 to 27 sq ft) per seat, which sounds generous until you realise the room also has to contain a door swing and a screen.
Sightlines: excellent, because everyone is within about 3 m of the display. This is the only layout on the list where the far seat is never a problem.
Best for: the large majority of real meetings, which involve 2 to 4 people. Worst for: anything above 6 people, where it degrades into people standing awkwardly by the door. Sizing this one properly is its own topic, covered in huddle room size.
The comparison, in one place
Format below is: layout, typical capacity, area per seat, minimum room size for a worked example, best for.
- Boardroom. 6 to 14 people. 2.3 to 2.8 m² (25 to 30 sq ft) per seat. 18 m² / 195 sq ft for 8. Best for decisions where everyone sees everyone.
- U-shape. 12 to 22 people. 3.0 to 3.7 m² (32 to 40 sq ft) per seat. 40 m² / 430 sq ft for 12. Best for training with a facilitator in the middle.
- Hollow square. 12 to 28 people. 3.0 to 3.7 m² (32 to 40 sq ft) per seat. 40 m² / 430 sq ft for 12. Best for negotiation with no head of table.
- Theatre. 25 to 200 people. 0.9 to 1.2 m² (10 to 13 sq ft) per seat. 28 m² / 300 sq ft for 25. Best for all-hands and listening-only sessions.
- Classroom. 16 to 100 people. 1.8 to 2.3 m² (20 to 25 sq ft) per seat. 32 m² / 345 sq ft for 16. Best for training with laptops.
- Rounds and cabaret. 24 to 150 people. 1.2 to 2.0 m² (13 to 22 sq ft) per seat. 45 m² / 485 sq ft for 24. Best for mixed presentation and group work.
- Herringbone. 20 to 60 people. 1.6 to 2.1 m² (17 to 22 sq ft) per seat. 36 m² / 390 sq ft for 20. Best for training with some peer visibility.
- Huddle circle. 2 to 6 people. 2.0 to 2.5 m² (22 to 27 sq ft) per seat. 9 m² / 100 sq ft for 4. Best for most real meetings.
For calibration against a vendor figure: Microsoft's guidance for a traditional Teams Rooms meeting space says a room fitting up to 10 people needs approximately 25 feet wide by 14 feet deep, which is 350 square feet or about 33 m². That is 35 square feet per person for a boardroom layout, at the generous end of our range, and it includes the AV equipment zone at the front.
Most offices need two of these
Here is the uncomfortable part. If you have 20 to 100 people, you will use the boardroom layout and the huddle circle, and you will use the huddle circle far more. Every other layout on this list exists for events, and events happen a few times a year.
The common mistake is building one large room configured for a layout you use quarterly, then discovering that the two-person calls it gets used for every day would have been better served by three small rooms. If your one big room is booked solid and the calendar shows an average of 2.4 attendees per booking, you have a layout problem that no amount of furniture rearrangement fixes. The second mistake is buying stackable furniture on the theory that you will reconfigure. In practice nobody reconfigures a room that is booked back to back. Layout flexibility is real only if there is slack in the calendar and someone whose job includes moving tables.
The layout matters less than knowing the room is free
Worth saying, given the amount of energy that goes into this: in a small office, the difference between a good layout and a mediocre one is a few minutes of comfort per meeting. The difference between knowing a room is free and not knowing is the whole meeting.
People walk the corridor, open doors, apologise, and try the next one. Or they book the big room for a two-person call because it is the only one they are sure about. That behaviour costs more room-hours than any layout decision, and it is entirely a signalling problem, not a furniture problem.
The other question hiding in the same words
"How do I set up a meeting room in Outlook" is a completely different question that shares almost every word with this one. That one is about creating a room mailbox, setting it to auto-accept, and putting it in a room list so Room Finder can see it. TL;DR
- Code occupant load factors (15 sq ft net for tables and chairs, 7 sq ft net for chairs only) are egress minimums, not design targets. Plan at 1.5 to 3 times those.
- U-shape and hollow square are the most space-hungry at 3.0 to 3.7 m² per seat. Theatre is the cheapest at 0.9 to 1.2 m².
- Hollow square and full rounds put a quarter to a third of the room's backs to the screen. Pick them only when the screen is not the point.
- Crescent rounds and herringbone buy better sightlines than classroom for a modest area penalty.
- Offices of 20 to 100 people realistically use two layouts: boardroom and huddle circle, and mostly the latter.
- Reconfigurable furniture only works if the calendar has slack and someone owns the resetting.
