Zoom Rooms Scheduling Display: What Zoom Requires and the Lighter Ways to Show Room Status

Zoom documents its scheduling display path clearly: a Zoom Rooms licence, a certified panel or a supported tablet, and the display on the same network as the room computer. Here is what that actually requires, what the Android tablet route really involves, and why reading the underlying Google or Microsoft 365 calendar is what most people are actually after.

You run Zoom Rooms in three of your meeting rooms. Someone walks into a call that is already in progress, and by Friday there is a request in your queue: "can we get a screen outside the doors that says whether the room is free?" You search for it, land on Zoom's own support documentation, and the answer is a certified appliance from Logitech, Neat, Yealink, Poly, Crestron, AVer, DTEN or Extron, mounted on a PoE drop, per room.

That is a legitimate answer and for some offices it is the right one. It is also not the only one, and for a lot of the people asking this question it is considerably more machinery than the problem requires. This post covers exactly what Zoom's scheduling display path requires (taken from Zoom's own docs, with links, verified 5 August 2026), what the "free" and "Android tablet" versions of the question actually mean, the honest arithmetic on appliance-per-room, the lighter paths including reading the room calendar directly, and the cases where the certified appliance really is the correct purchase.

What Zoom actually requires

From Zoom's "Using Zoom Rooms scheduling display" article:

  • A Zoom Rooms licence. The scheduling display is a mode of the Zoom Rooms controller app, not a standalone product.
  • Scheduling displays are included with the purchase of one or more Zoom Rooms subscriptions, with up to 10 scheduling displays per Zoom Room.
  • A calendar integration with Google Calendar, Office 365 or Microsoft Exchange. Scheduling displays use the same integrations as regular Zoom Rooms.
  • The scheduling display and the Zoom Rooms computer must be on the same network. This one catches people who assumed a cloud device.
  • Scheduling displays are not supported with iPad Zoom Rooms.

Separately, Zoom's room types article lists a "Scheduling Display Only" room type for in-person-only rooms. Read the licensing note carefully: it sits in the category "requires one license (the license is not actually used by these types)". So a room that only ever needs a panel outside the door still consumes a Zoom Rooms licence slot in your account.

"Zoom rooms scheduling display free": what that really means

There is no separate per-panel software charge. The scheduling display mode is included with a Zoom Rooms subscription you are already paying for. That is genuinely good, and it is the honest answer to the question.

What it does not mean is free overall. You still need the Zoom Rooms licence for that room, and you still need a physical device. Zoom Rooms licence pricing changes, so check Zoom's current Zoom Rooms pricing page rather than trusting any number written in a blog post, including this one. We have deliberately not quoted a Zoom licence price here for that reason.

"Zoom rooms scheduling display android": yes, and here are the exact specs

This is documented and supported. Per Zoom Rooms Scheduler system requirements:

  • Android: a commercial Android tablet running 8.0 or above. Minimum screen size 7.0 inch, which Zoom flags as having limited functionality. Recommended 8.0 inch or higher. CPU: ARM v6+ or x86, dual-core 1.5 GHz or above. Zoom Rooms Controller app from Google Play.
  • iPadOS: 12.0 or above, on any iPad, iPad Mini, iPad Air or iPad Pro capable of running it. Zoom Rooms Controller app from the App Store.

The setup is short: install the Zoom Rooms app, sign in with Zoom Rooms admin credentials, select the room, and when asked what the device is for, tap Scheduling Display. Then mount it outside the door. Zoom documents switching between controller mode and scheduling display mode through Settings, behind the device passcode.

So if your question was "can I do this with a cheap tablet instead of buying a panel", the answer from Zoom itself is yes.

The certified appliances

Zoom's certified scheduler list, with the characteristics Zoom itself states on the Zoom Rooms Scheduler system requirements page:

  • Neat Pad: 8 inch, PoE, side LED indicators, wall or side mount.
  • Logitech Tap Scheduler: 10.1 inch, PoE, side LEDs, glass, mullion and wall mounting.
  • Crestron TSS 70-series: 7 inch or 10 inch, PoE.
  • Poly TC10: 10 inch, PoE, side LEDs, wall or glass mount.
  • Yealink RoomPanel: 8 inch, PoE and Wi-Fi, side LEDs, wall or glass mount.
  • AVer CP10 / CP10 G2: 10.1 inch, PoE, side LEDs, wall mount.
  • DTEN Mate: 10.1 inch, in PoE and Wi-Fi variants, wall or door frame mount.
  • Extron ZRTP: 7 inch or 10 inch, PoE, side LEDs, wall mount.

Note how many of these are PoE. That tells you what the category assumes: a structured cabling drop per door. Prices for these panels change and vary by region and reseller, so check the vendor pages directly rather than any figure you read secondhand. We have not quoted appliance prices here because none of these vendors publish a single stable list price.

The honest arithmetic

Here is the part worth saying plainly. If you already run Zoom Rooms for the AV, and the only outstanding requirement is "show availability outside the door", then a certified scheduling appliance means you are buying:

  1. A second dedicated device per room, whose entire output is a line of text and a colour.
  2. A PoE drop per door, with a contractor and a schedule attached.
  3. A mount, and the installation labour to fit it.
  4. An additional device to patch, monitor and eventually replace.

That is appliance-grade cost and effort for a calendar readout. It is completely justified when you also want the other things an appliance gives you. It is a poor trade when you do not.

Do the sum for your own estate before deciding: (panel + cable drop + mount + labour) multiplied by the number of doors, against what you actually need on those doors.

The lighter paths

1. A repurposed tablet running Zoom's own app

The cheapest option that stays entirely inside Zoom's supported path. You already have the licence and the integration; you are just changing what renders the screen.

The real costs are physical, not software: a lockable enclosure with a VESA plate, a power cable per door, and a plan for the fact that a tablet permanently on charge degrades its battery over a couple of years. Add MDM to keep the device in single-app mode so nobody exits to the browser, and remember that if you use MAC allowlists you will need to handle per-network MAC randomisation.

2. Read the underlying calendar instead of going through Zoom

This is the option most people are actually reaching for and rarely realise exists.

Zoom Rooms does not own your room's availability. Your meeting room is a Google Calendar resource or a Microsoft 365 room mailbox, and Zoom's own documentation says the scheduling display uses those same calendar integrations. Zoom is a reader of that data, not the source of it. Anything else that reads the same room resource shows the same truth.

What that changes:

  • It works on rooms with no Zoom Rooms at all. The two-person huddle rooms with a table and a whiteboard and no AV kit still have a room mailbox, and they are usually the rooms with the worst double-booking problem.
  • No same-network requirement. A cloud display talks to Google or Microsoft, not to a computer in the room, so no VLAN gymnastics.
  • No 10-per-room ceiling, because you are not attaching devices to a Zoom Room.
  • No additional Zoom Rooms licence for rooms that only need a door panel.

What you give up is real, and you should weigh it: no check-in and auto-release inside Zoom's system, no one-tap "start the Zoom meeting" from the panel, and two vendors rather than one when something breaks.

When the certified appliance is the right answer

This post is not trying to argue you out of buying one. Buy the appliance if any of these are true:

  • You need in-room controls. Start and join a meeting, camera presets, volume, content sharing, ending a call. A scheduling display outside the door does not do any of that and never will. If your users need a controller, you need a controller, and a calendar panel is not a substitute.
  • You want Zoom's check-in and release behaviour. Zoom documents a check-in feature that releases the room from the calendar when nobody starts the meeting or checks in. If you want that specific mechanism, it lives inside Zoom.
  • You want one vendor and one support number for AV and scheduling together. For a small IT team that is worth real money.
  • PoE is already in the build. If a fit-out is happening and cabling is going in anyway, the marginal cost of a drop per door is much lower than retrofitting later.

A three-question decision test

  1. Does the panel need to control anything in the room? If yes, buy the certified appliance and stop reading.
  2. Do all the rooms you want to cover have Zoom Rooms? If some do not, you will need something that reads the calendar directly for those rooms regardless, so consider using one approach everywhere.
  3. Is there already a cable at each door? If not, price the cabling before the hardware. It is usually the larger number and the longer lead time.

The lighter option we build

Stated plainly, because it matters here more than in most comparisons: Lobby is not a Zoom Rooms controller and does not integrate with Zoom Rooms. It cannot start a Zoom meeting, control a camera, or perform check-in inside Zoom's system. It reads the room calendar that Zoom also reads. If you need in-room control, buy the certified appliance; the two things are not substitutes.

The rest of the list, so you can rule it out fast: no desk booking, no visitor management, no room automation or AV control, no enterprise SSO or SCIM at scale, no MDM on the e-ink hardware, no on-premises Exchange without a hybrid configuration.

TL;DR

  • Zoom's scheduling display needs a Zoom Rooms licence, a supported device, a Google or Microsoft calendar integration, and the display on the same network as the Zoom Rooms computer. It is not supported on iPad Zoom Rooms, and you get up to 10 scheduling displays per Zoom Room.
  • "Free" means included with a Zoom Rooms subscription. The room still consumes a licence even in Scheduling Display Only mode. Verify current pricing on Zoom's page.
  • The Android path is officially supported: commercial tablet on Android 8.0 or above, 7 inch minimum with limited functionality, 8 inch or larger recommended, dual-core 1.5 GHz or above.
  • Certified appliances are Neat Pad, Logitech Tap Scheduler, Crestron TSS 70-series, Poly TC10, Yealink RoomPanel, AVer CP10, DTEN Mate and Extron ZRTP. Nearly all are PoE, which means a cable drop per door.
  • If you only need availability outside the door, an appliance is a lot of hardware and cabling for a calendar readout.
  • Zoom reads your Google or Microsoft room resource. So can anything else, without a Zoom Rooms licence, without the same-network constraint, and including rooms that have no AV at all.
  • If you need in-room controls or Zoom's own check-in and release, buy the certified appliance. A door panel will not replace a controller.
