Meeting Room Display Pricing per Room in 2026

Meeting room display pricing is hard to compare because the vendors do not price the same thing. Some charge per device. Some per bookable resource. Some per space. Some per location. Some publish a list price. Some price by quote only.

This post is the worked example. Every figure below comes from the vendor's own published pricing page, checked on 19 August 2026. Where a vendor does not publish a number, we say so and leave the number out rather than estimating it. That means some rows are incomplete. That is the honest state of the market, not an oversight.

Rules we used

Published prices only. If a vendor does not publish it, it is not in the maths.
Software and hardware are kept separate. Only Joan sells a display of its own. Lobby does not make hardware; it runs on a third-party e-ink panel whose manufacturer publishes a list price, and we quote that price. The rest expect you to supply a tablet or screen, and none of them publishes a price for one, so we do not put a number on it.
No currency conversion. Each figure is quoted in the currency the vendor published it in. We do not convert and we do not treat a euro figure as comparable to a dollar figure.
Annual billing where the vendor offers it, because that is the cheaper published rate in every case here.
Scope is stated. Some of these products are room-display software. Some are whole workplace platforms. The prices are not measuring the same thing and we flag it each time.

What each vendor actually publishes

Lobby

Room display software. Published in USD.

Free forever for up to 3 active displays, all features, no credit card. This is a free tier, not a trial.
Unlimited: USD 30 per month billed yearly, so USD 360 per year. USD 50 per month on the monthly list price.
Pro Unlimited: USD 60 per month billed yearly, so USD 720 per year. USD 100 per month monthly.
Display count does not change the software price on the Unlimited plans.
Cancel any time. No annual lock-in.
Hardware: e-ink displays, bought direct from the manufacturer with no Lobby markup, at USD 69 each for 1 to 9 units and USD 62.99 at 10 or more. Or bring your own tablet, TV or monitor at no hardware cost.

Joan

Workplace platform covering room booking, desk booking, parking and assets, visitor management and digital signage. Joan also sells its own e-paper hardware.

Plans start at USD 51 per month as a base subscription, which includes some users and some devices.
Additional device licence: USD 10.99 per device per month on annual billing, USD 12.99 monthly.
Additional user: USD 1.09 per user per month on annual billing, USD 1.29 monthly.
Every screen or panel needs its own device licence.

An important gap. Joan's pricing page does not publish how many users and devices the USD 51 base actually includes. That single missing number is the difference between a cheap answer and an expensive one, so below we give Joan as a range rather than a single figure.

A currency note. Joan's shop displays prices in the currency of your region, and the pricing page and the shop did not agree on currency when we checked. On 19 August 2026 the Joan 6 RE listed at USD 399 excluding tax and the Joan 13 Pro listed at EUR 899 excluding tax. Those are two separate published list prices in two currencies, not one price converted. Check the price your own region is shown before budgeting, and do not add a euro hardware price to a dollar software total.

Robin

Robin publishes no prices. Its pricing page is a form: you complete it and their team quotes you. There is no per-user rate, no per-room rate, no base price and no setup fee on the page.

We therefore cannot put Robin in the numbers below, and neither can anyone else who has not been quoted. What Robin does state on that page:

All subscriptions are billed annually.
Robin does not sell hardware. All hardware is sold separately through equipment partners.
Robin describes the platform as designed for companies with 500 employees or more, with at least a third using the office regularly.
Robin's own page says that if you are looking for a point solution such as software exclusively for room displays, there are better options for you.

If Robin is on your shortlist, get a written quote for your headcount and room count. Any per-room figure you see for Robin on a comparison page, including any earlier version of this one, was not published by Robin.

Envoy

Workplace platform, strongest in visitor management. Room booking is one module of several. Published in USD, billed annually.

Reservations: USD 5 per bookable resource per month. A bookable resource is a desk, a room or a parking space, so a meeting room counts as one.
Screens (digital signage and device management): USD 12 per device per month.
Visitors: Basic free with limited features. Standard and Premium listed at USD 109 per location per month. Enterprise is custom priced.
Response: USD 2 per user per month. Deliveries: USD 250 per delivery location per month.
Envoy does not publish a display hardware price on its pricing page.

An important gap. Every module price on Envoy's pricing page carries the line "Price excludes platform fee", and the platform fee itself is not published there. So the Envoy numbers below are a floor, not a total. Add the platform fee from your quote.

Skedda

Space booking and scheduling software, desk booking first, with tablet displays as a feature on all tiers. Published in USD, priced per space, billed annually. Each tier is listed as "Starting at" with a Talk to Sales button, so treat these as anchors rather than a self-serve checkout price.

Starter: from USD 99 per month, 15 spaces included.
Plus: from USD 149 per month, 20 spaces included. Also listed at USD 249 per month with 35 spaces included.
Premier: from USD 199 per month, 25 spaces included. Also listed at USD 349 per month with 45 spaces included.
Enterprise: custom, talk to sales.
Visitor management is a USD 99 per month add-on on every tier.
Skedda does not publish a display hardware price.

A scope note. A Skedda "space" is any bookable space, so desks and parking bays count against the same allowance as meeting rooms. If you have 10 rooms and 60 desks, you are buying 70 spaces, not 10. The figures below assume rooms only, which is the most favourable reading for Skedda.

Software cost per year, 5 rooms

Lobby Unlimited: USD 30 × 12 = USD 360. Or USD 0 on the free tier if you are down at 3 displays.
Joan: base USD 51 × 12 = USD 612. If the base covers all 5 devices, that is the whole bill. If none are included, add 5 × USD 10.99 × 12 = USD 659.40, giving USD 1,271.40. So USD 612 to USD 1,271.40, plus USD 1.09 per user per month for anyone using the Joan apps.
Envoy: Reservations 5 × USD 5 × 12 = USD 300. Screens 5 × USD 12 × 12 = USD 720. Total USD 1,020, plus the unpublished platform fee.
Skedda: Starter at USD 99 × 12 = USD 1,188, which includes 15 spaces, so 5 rooms sits well inside the entry tier.
Robin: not published. Request a quote.

Software cost per year, 10 rooms

Lobby Unlimited: USD 30 × 12 = USD 360. The price does not move with display count.
Joan: USD 612 base. Plus 10 × USD 10.99 × 12 = USD 1,318.80 if no devices are included. So USD 612 to USD 1,930.80, plus users.
Envoy: Reservations 10 × USD 5 × 12 = USD 600. Screens 10 × USD 12 × 12 = USD 1,440. Total USD 2,040, plus the unpublished platform fee.
Skedda: Starter at USD 1,188, still inside the 15 spaces included.
Robin: not published.

Software cost per year, 25 rooms

Lobby Unlimited: USD 30 × 12 = USD 360.
Joan: USD 612 base. Plus 25 × USD 10.99 × 12 = USD 3,297 if no devices are included. So USD 612 to USD 3,909, plus users.
Envoy: Reservations 25 × USD 5 × 12 = USD 1,500. Screens 25 × USD 12 × 12 = USD 3,600. Total USD 5,100, plus the unpublished platform fee.
Skedda: Starter includes 15 spaces and Plus includes 20, so neither covers 25 rooms. The lowest published tier that includes 25 spaces is Premier at USD 199 × 12 = USD 2,388.
Robin: not published.

Five-year software cost, 10 rooms

Same figures multiplied by five, at today's published list prices. None of these vendors publishes a renewal escalator, so this assumes prices hold. They may not.

Lobby Unlimited: USD 360 × 5 = USD 1,800
Joan: USD 612 × 5 = USD 3,060 at the low end, USD 1,930.80 × 5 = USD 9,654 at the high end. So USD 3,060 to USD 9,654
Skedda: USD 1,188 × 5 = USD 5,940
Envoy: USD 2,040 × 5 = USD 10,200, plus five years of platform fee
Robin: not published

The Joan range overlaps the Skedda figure, which is exactly the point. Without the number of devices included in Joan's base plan, you cannot say which of the two is cheaper for your setup. Ask Joan that question before you compare.

Hardware, stated as each vendor publishes it

This is where the comparison stops being one currency and one column, so we have kept it separate rather than folding it into the totals.

Lobby: e-ink displays, bought direct from the manufacturer. 5 rooms at USD 69 = USD 345. 10 rooms at the 10-or-more unit price of USD 62.99 = USD 629.90. 25 rooms at USD 62.99 = USD 1,574.75. Or USD 0 if you mount a tablet, TV or monitor you already own.
Joan: sells its own e-paper displays. On 19 August 2026 the Joan 6 RE listed at USD 399 excluding tax and the Joan 13 Pro at EUR 899 excluding tax, in two different regional currency views of the same shop. Mounts are included in the box; secure and PoE mounts are sold separately. We are not converting between those two currencies and neither should you.
Robin: does not sell hardware. Bought separately from equipment partners.
Envoy: no display hardware price published on the pricing page.
Skedda: no display hardware price published. Tablet displays are a software feature; you supply the tablet.

Five-year total, Lobby only

Lobby is the only row here where both halves of the bill are published in one currency at every quantity we tested: our own software price, and the hardware manufacturer's list price. Lobby does not make that hardware, so this is our price plus a third party's rather than one bundled quote. It is still the only complete five-year total we can give without guessing.

5 rooms with e-ink: USD 345 hardware + (USD 360 × 5) = USD 2,145
10 rooms with e-ink: USD 629.90 + USD 1,800 = USD 2,429.90
25 rooms with e-ink: USD 1,574.75 + USD 1,800 = USD 3,374.75
Any of the above with your own tablets: USD 0 + USD 1,800 = USD 1,800

We are not going to publish the equivalent complete total for the other four, because doing so would mean inventing a tablet price they do not publish, converting a currency we should not convert, or filling in a platform fee and a base plan allowance that are not on the page.

Like-for-like, honestly

These products do not have the same scope, and the price differences partly reflect that.

Lobby is room display software. It does not do visitor management, desk booking or parking.
Joan is a full workplace platform and also a hardware manufacturer. The USD 51 base buys access to room booking, desk booking, parking, visitor management and signage, not just rooms.
Envoy is visitor management first. Room booking is the Reservations module, and Envoy's own structure means you are buying a platform plus modules, not a room display product.
Skedda is space and desk booking first. Its space allowance counts desks and parking alongside rooms.
Robin is a workplace operations platform aimed at larger organisations, and its own pricing page directs point-solution buyers elsewhere.

If you need visitor management and desk booking as well as rooms, the platform vendors are doing more for the money and a rooms-only comparison flatters us. If you only need to know which rooms are free, you are paying for modules you will not open.

What to ask before you buy

Ask Joan how many users and devices the base plan includes. It is not on the pricing page and it changes the answer by a factor of three at 25 rooms.
Ask Envoy for the platform fee. The module prices are published; the fee they sit on top of is not.
Ask Skedda what counts as a space in your account. If desks and parking bays count, your tier is decided by a number much larger than your room count.
Ask Robin for a written quote at your headcount and room count, and ask what happens to it when headcount grows. Nothing on their public site answers that.
Ask everyone for the renewal price, in writing. Every figure on this page is a list price for a new customer. None of these vendors publishes what year two costs.

TL;DR

As of 19 August 2026, published annual software list prices for 10 meeting rooms are USD 360 for Lobby Unlimited, USD 612 to USD 1,930.80 for Joan depending on what its base plan includes, USD 1,188 for Skedda Starter, and USD 2,040 plus an unpublished platform fee for Envoy Reservations and Screens. Robin publishes nothing, so it cannot be costed from public sources. Hardware is separate: Lobby runs on e-ink displays bought direct from the manufacturer at USD 69 per unit at 5 units and USD 62.99 per unit at 10 and 25 units, Joan sells its own displays with regional currency pricing, and Envoy, Skedda and Robin publish no display hardware price at all.
